Sapio Research is committed to maintaining the privacy and security of personal information. This privacy policy statement contains information about our policy regarding the collection and use of data.

How we get your information:

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You have made a complaint or enquiry to us.
  • You have made an information request to us.
  • You wish to attend, or have attended, an event.
  • You subscribe to our e-newsletter.
  • You have applied for a job or secondment with us.
  • You are representing your organisation.

Website analytics

When you visit www.sapioresearch.com, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out such things as the number of visitors to the various parts of the site. This information is only processed in a way that does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

If we do collect personal data through our website, we’ll be upfront about this. We’ll make it clear when we collect personal information and we’ll explain what we intend to do with it.

Contact form

When you fill in a contact form via our website, we are sent your details via a team email address.  Only specified and necessary people have access to this.  When filling out the form we ask if we can then store your details within our MailChimp database.  This may be used to send you information of new services, invites to workshops and sessions, our newsletter or other relevant material.

Contact is usually between two to four times a year and you have the option to unsubscribe at any time.  If you do not consent to your data being stored here, we will still use your email address and any information provided via our contact form to reply to your request, but this will be limited to our email software and not used for any other purposes.

Links to other websites

Where we provide links to websites of other organisations, this privacy notice does not cover how that organisation processes personal information. We encourage you to read the privacy notices on the other websites you visit.

Email addresses and communication

Sapio Research may have corporate email addresses in its email system or data files that are acquired through clients who have provided email addresses for research purposes.

Sapio Research uses email as a means of communicating to known clients and customers.  We do this via our own work email addresses or through MailChimp.  You always have the option to opt out of this.

No method of transmission over the internet, nor method of electronic storage, is 100% secure.  While we strive to use commercially acceptable means to protect personal information, we cannot guarantee its absolute security.

Your data protection rights

Under data protection law, you have rights we need to make you aware of. The rights available to you depend on our reason for processing your information.

Your right of access

You have the right to ask us for copies of your personal information. This right always applies. There are some exemptions, which means you may not always receive all the information we process.

Your right to rectification

You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. This right always applies.

Your right to erasure

You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing

You have the right to ask us to restrict the processing of your information in certain circumstances.

Your right to object to processing

You have the right to object to processing if we are able to process your information because the process forms part of our public tasks, or is in our legitimate interests. 

Your right to data portability

This only applies to information you have given us. You have the right to ask that we transfer the information you gave us from one organisation to another, or give it to you. The right only applies if we are processing information based on your consent or under, or in talks about entering into a contract and the processing is automated.

If we are processing your information for criminal law enforcement purposes, your rights are slightly different.

You are not required to pay any charge for exercising your rights. We have one month to respond to you.

Sharing your information

We will not share your information with any other organisations for the purposes of direct marketing.

We sometimes work with partners who provide elements of services for us. We have contracts in place with our data processors. This means that they cannot do anything with your personal information unless we have instructed them to do it. They will not share your personal information with any organisation apart from us. They will hold it securely and retain it for the period we instruct. 

In some circumstances we are legally obliged to share information. For example under a court order or where we cooperate with other European supervisory authorities in handling complaints or investigations. In any scenario, we’ll satisfy ourselves that we have a lawful basis on which to share the information and document our decision making and satisfy ourselves we have a legal basis on which to share the information.

In the event of a sale, merger, liquidation, dissolution, reorganization or acquisition of Sapio Research, the acquiring party would agree to be bound by the terms of Sapio Research privacy policy before any information would be transferred.

Access to Sapio Research data

Only authorized Sapio Research employees, vendors, contractors or partners carrying out authorized business functions are permitted to access Sapio Research databases.

Information security

Sapio Research is committed to keeping personal data secure and will take all reasonable precautions to protect personal information from loss, misuse or alteration. Data stored on internal network servers are protected by firewalls and other appropriate security mechanisms.

Changes in this privacy statement

Sapio Research reserves the right to modify and update this policy and its related business practices at any time. Please view this privacy policy on a regular basis.  This version of the privacy policy was last updated on 27th June 2018.
